This Privacy Policy explains how Uproot Solutions LLC dba JobTrace ("JobTrace," "we," "us," or "our") collects, uses, stores, and shares information when you use JobTrace OS and related websites, applications, and services (collectively, the "Service").
If you use the Service on behalf of a company or other organization, that organization is the customer account owner and is responsible for the information submitted to the Service by its users.
1. Information We Collect
We collect information you provide directly, information created through use of the Service, and limited information from third-party providers.
- Account information, such as your name, email address, company or tenant information, role, and login metadata.
- Business data you submit, including jobs, customer names, customer contact details, jobsite addresses, schedules, notes, supplier details, subcontractor details, files, and communications history.
- Billing information related to subscriptions and payments. Full payment card details are processed by Stripe and are not stored by JobTrace.
- Integration data when you connect optional services, such as Google Calendar tokens and related calendar event metadata needed to create, update, or remove JobTrace events.
- Usage and device information such as IP address, browser type, timestamps, request metadata, and application logs used for security, troubleshooting, and product improvement.
2. How We Use Information
- Provide, operate, maintain, and secure the Service.
- Authenticate users and manage tenant access.
- Store and display business records, schedules, files, and communications.
- Send product emails, job-related emails, supplier communications, and service notifications.
- Process subscriptions, invoices, and account administration.
- Support optional integrations, including Google Calendar event syncing and Google Maps address autocomplete.
- Detect, prevent, investigate, and respond to security incidents, fraud, abuse, and misuse.
- Improve product functionality, reliability, and user experience.
- Comply with legal obligations and enforce our agreements.
3. Google User Data
If you choose to connect Google Calendar, JobTrace requests access only to manage calendar events needed for the scheduling features you enable. We use Google Calendar data solely to create, update, and delete JobTrace-related calendar events for your account.
We do not use Google Calendar data for advertising, sale, or unrelated profiling. Google user data is used only to provide or improve user-facing features directly related to the Service.
4. How Information Is Shared
We do not sell personal information. We share information only in the following limited circumstances:
- With service providers that help us operate the Service, such as authentication, billing, email delivery, file storage, hosting, and infrastructure providers.
- With integrations you choose to enable, such as Google Calendar.
- Within your organization, based on your tenant’s configured users, roles, and permissions.
- When required by law, regulation, legal process, or valid governmental request.
- To protect the rights, safety, security, and integrity of JobTrace, our users, and the public.
- In connection with a merger, acquisition, financing, or sale of all or part of our business, subject to appropriate confidentiality protections.
5. Service Providers and Infrastructure
Our service providers may include, depending on the features used:
- WorkOS for authentication and identity management.
- Stripe for subscription billing and payment processing.
- Resend for transactional email delivery.
- Google services for address autocomplete and optional calendar integrations.
- Cloudflare and cloud storage providers for hosting, networking, and file storage.
These providers process information under their own terms and privacy policies and only to the extent needed to support the Service.
6. Data Retention
We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, enforce our agreements, and maintain security and backup records.
After account termination, we may retain certain information for a limited period for backup, audit, fraud prevention, legal compliance, or legitimate business purposes. Customer data may then be deleted or anonymized in accordance with our retention practices.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Choices and Rights
- You may update certain account and organization information within the Service.
- You may disconnect optional integrations, such as Google Calendar, at any time.
- You may contact us to request access, correction, or deletion of personal information, subject to legal and contractual limitations.
- If you are an end user accessing JobTrace through your employer or organization, you may need to direct privacy requests to that organization first.
9. International Data Transfers
We and our service providers may process and store information in the United States and other countries. By using the Service, you understand that information may be transferred to jurisdictions that may have different data protection laws than your own.
10. Children's Privacy
The Service is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy here and may provide additional notice through the Service or by email.
